Orange Regional Conservatorium (ORC) ENROLMENT TERMS & CONDITIONS – Jan 2025

Please read carefully and file for future reference. Failure to read this document will not be accepted as a reason for failing to comply with the terms and conditions.

Application for Enrolment – New Students:

·       Applications may be made by completion of an ORC Enrolment Form, via web form at https://orangecon.org.au/enrol or completion of a paper form (available at ORC Admin).

·       Applications are acknowledged within 7 working days of receipt, and places allocated based upon availability.

·       Applicants that cannot be placed with a teacher will be placed on a waiting list and the applicant notified.  No fees apply until a student is successfully allocated.  

Enrolment:

·       Enrolment is an agreement to engage the services of a teacher at a particular day and time, usually each week.

·       Enrolment is required for a minimum of one school term (approx. 10 weeks), unless on an agreed 5- week trial (applies to individual lessons only).

·       An enrolment becomes active once the lesson, ensemble or class details have been confirmed.

·       The enrolment will be deemed to be ongoing from term-to-term and will continue at the start of each year, until ORC admin is notified otherwise.

Discontinuation or Deferment of lessons:

·       Notice to discontinue or defer lessons must be made in writing to the ORC Admin (not via your teacher). 

·       A Notice Period of 14 days (beginning the day after notice is received) applies when students wish to cease or defer lessons.  

·       Lessons scheduled during the Notice Period will be counted as attended for billing purposes, irrespective of whether the student attends or not.

·       Deferring lessons for a term or longer may result in losing access to your preferred teacher and/or your preferred lesson time/day, and you may be placed on a waiting list.

Fees:

·       An invoice specifying fees will be emailed to the email address listed on the enrolment form, before the commencement of each term.   Should you not receive your invoice, please contact ORC Admin to issue you a copy.

·       Invoices will be issued for the full term (enrolments after the commencement of the term will be invoiced pro-rata except ensembles – full ensemble fees are applicable).

·       Fees applicable for each activity are available at https://orangecon.org.au/.

·       An Annual Administration Fee of $10 applies to each student, charged per calendar year.

Payments and Debt Recovery:

·       Invoices are due for payment 14 days after the invoice date, and can be paid through the various options outlined on the invoice.

·       Overdue accounts will incur a Late Fee of $25.

·       Enrolments will be cancelled if accounts are not fully paid 28 days after the invoice date; therefore, lesson times will be forfeited and students removed from ensemble/classes.

·       Unpaid fees requiring the use of a debt recovery agency will incur a Debt Agency Fee, calculated as an additional 20% surcharge on the overdue amount.

Payment Plans:

·       Students can request to pay their fees by an agreed ORC payment plan. Payment plans are broken down into agreed instalments across the term.

·       Overdue instalments will incur a Late Fee of $25.

·       If instalment payments fall behind, the payment plan will be cancelled, and the full balance of remaining term fees will become due for payment. Subsequently, if the account remains unpaid 14 days after the cancellation of a payment plan, the enrolment will be cancelled, therefore lesson times will be forfeited and students removed from ensemble/classes.

·       The ORC reserves the right to cancel or amend payment plans at any time.

Missed lessons:

·       It is expected that students enrolled at the ORC will commit to attending the full term’s lessons, and that the teacher will provide the full term’s lessons:

·       Teacher absence: If a teacher is absent from a lesson, a make-up lesson may be offered or credits will be applied to the student account in the following term.

·       Student absence:

o   “No-show” or late notice cancellations:  If notice is given less than 24 hours prior to a lesson, the student will forfeit that lesson, and no make-up lesson or credits/refunds will apply.

o   Notified Absences > 24 hours:   If notice is given more than 24 hours in advance of their intention to miss lessons, a make-up lesson may be offered or a credit applied to the student account the following term. Please note, a student is allowed a maximum of one credit per term for Notified Absences > 24 hours.

o   Planned absences:  If students are planning to be away during term, this must be  agreed with their teacher prior to the commencement of term and notified to ORC Admin, so the number of lessons planned for the term can be adjusted.

·       Make-up lesson: A make-up lesson may be held (if conditions are met as above) and will take place at an agreed time between the teacher and student. The make-up lessons must be completed by the end of the first week of the succeeding school holidays.

Refunds:

Refunds will only be given in the event that the ORC discontinues a class or under special circumstances (i.e. serious illness). A request for refund must be made in writing to ORC Admin.

Contact Details

·       It is the student’s (or parents/guardian if under 18) responsibility to ensure that ORC Admin has updated contact information for the student at all times.

·       If your details do change, please contact ORC Admin to update your details.

General:

The ORC reserves the right to decline or cancel an enrolment, cancel classes or programs at any time due to insufficient enrolments and change the teacher for any tuition at any time. The ORC is not responsible for students outside lesson times. Parents and/or guardians are advised not to leave students unattended before or after lessons and to make suitable arrangements for drop off and pick up of students.
